Digitization of group-wide financial processes – development of a scalable web application
An international group was faced with the task of standardizing and digitizing its diverse financial processes across all subsidiaries. The vision: a central web application that meets the highest requirements for automation, security and transparency – while remaining flexibly expandable.

BITS was responsible for the design, technical implementation and ongoing development of a modular platform that maps payment and financial management processes. The solution enables uniform, secure and traceable processing of group-wide financial transactions – efficiently and sustainably.
Challenge
The introduction of a Group-wide financial platform brought with it numerous professional and technical challenges:
Realization
In order to meet the high requirements for security, traceability and flexibility, BITS developed a modular web application that digitally maps the Group’s central financial processes. The application combines modern web technologies with a clearly structured architecture in which the front end, business logic and data management are clearly separated from each other. JavaScript and CSS provide an intuitive user interface, while a powerful Java backend processes the business logic. Microsoft SQL Server serves as a high-performance database with extensive reporting options.
Particular attention was paid to the implementation of central technical modules, which were mapped and interlinked via the platform:
Upload payment files (SEPA): Users can upload SEPA payment files in XML format, which are automatically validated and formally checked. All processes are logged before the data is transferred to downstream systems.
Enter payments: Individual payments can be recorded directly in the system and automatically converted to SEPA format. Integration into approval workflows and the option of collective processing ensure efficient workflows and seamless transfer for further processing.
Manage payment advice notes: The system offers a convenient option for the manual entry of payment advice notes. The module is supplemented by an integrated export function that supports evaluations at company or process level.
Direct debit management: SEPA core direct debits can also be managed via the system – including mandate management and export functions for transfer to backend systems. This means that the entire direct debit process is managed centrally.
Cash flow planning: The application enables the structured recording of planned cash inflows and outflows and the execution of simulations based on different scenarios and timelines. Exports at Group level provide the basis for valuable insights for financial management.
Record foreign currency exposure: Open FX positions can be systematically recorded and evaluated on a consolidated basis – by currency, company and period. This ensures transparency and minimizes currency risks by providing a sound basis for decision-making.
All modules are based on a central roles and rights concept that enables differentiated access control by module, function and company. Authentication takes place via Azure Active Directory using OIDC, which not only ensures security but also simple integration into existing IT structures. The implementation was carried out iteratively – module by module – always in close coordination with the specialist departments, which enabled targeted and user-centered development.
The solution is rounded off by a flexible interface architecture that ensures reliable exchange with existing ERP and financial systems. The result is a platform that not only digitizes existing processes, but also provides a scalable basis for future expansions.
Conclusion
The project impressively demonstrates how even complex and historically evolved financial processes can be successfully digitalized and standardized through close collaboration between specialist departments, IT and an experienced development partner such as BITS. The web application developed offers the Group a future-proof platform on which central financial processes can be handled efficiently, securely and transparently – across all companies.
Particularly noteworthy is the modular architecture, which allows new requirements to be flexibly integrated and existing functions to be continuously developed. The iterative implementation with clear MVP stages not only significantly shortened the time to value, but also promoted the close involvement of the specialist departments – which had a positive effect on the acceptance and quality of the solution.
Thanks to the structured rights and access concepts, reliable system integration and high security standards, the application is ideally prepared for future requirements. Today, it forms the stable foundation for Group-wide digitalization in the area of finance – and can be expanded in the coming years to support additional business processes.
